Dear Mr Pierce

It was a pleasure speaking with you the other day, and I found you to be very helpful. I am writing to request data on the number of cases dropped by offence type, types of discontinuance and possible outcomes delineated by area and month for the period since such records were kept electronically. I understand electronic case management began September 2004, so I am seeking data from that time period (unless earlier is available) up to the time my request is answered.

Ideally, I would like the data in electronic form in some kind of database system such as Excel or Access so that I can sort the data by area, date, offence type, outcomes, etc. If you estimate that answering this request will prove excessively costly or burdensome, (which should not be the case as I am restricting my query to electronic data) could you please let me know and we can discuss ways to gather the information more efficiently.

I would be grateful if you could confirm in writing that you have received this request, and I look forward to hearing from you in the near future.
